職場禮貌拒絕與道歉:不傷和氣的英文說法

學會用英文優雅地拒絕請求或誠意道歉,維護職場關係的同時守住界線。

導言

職場上我們常常需要說「不」——拒絕額外任務、無法配合的時間、不合理的條件,或是為延誤、錯誤向客戶與同事道歉。台灣文化重視和諧與給面子,許多人害怕拒絕或道歉會「傷感情」,結果用模糊英文搪塞,反而造成更大誤會。其實在國際商務英語中,禮貌的拒絕(Polite Refusal)與專業的道歉(Professional Apology)都有成熟句型:清楚說明界限、表達尊重、必要時提供替代方案;道歉時承認事實、不過度自我攻擊、聚焦如何修復。本文從拒絕請求、拒絕邀請、商務道歉、客戶服務情境出發,提供實用句型與對話範例,幫助你在不傷和氣的前提下,用英文守住專業與界線。

禮貌拒絕的核心原則

有效的禮貌拒絕通常包含四個元素:肯定或感謝(acknowledge)→ 清楚拒絕(clear no)→ 簡短理由(brief reason)→ 替代方案(alternative,若可行)。缺少「清楚拒絕」會讓對方以為還有機會;缺少「替代方案」則顯得敷衍。理由宜真實但不必過度私密,例如 workload、prior commitments、company policy 都是可接受說明。

拒絕額外工作或請求

Thank you for thinking of me for this project. Unfortunately, I won't be able to take it on this quarter due to my current commitments on the APAC rollout.

先感謝,再明確拒絕,理由具體但不抱怨。

I appreciate the opportunity, but I'm at capacity until the end of March. I'd be happy to revisit in Q2.

拒絕條件或提案(商務談判)

We appreciate your proposal. However, the proposed payment terms don't align with our company policy. We could consider Net 30 instead of Net 60.

對條件說不,同時給可談空間。

I'm afraid we can't accept the liability clause as written. We'd be open to a mutual limitation of liability.

專業拒絕法律條款,並提出方向。

While we're interested in the partnership, we can't commit to exclusivity in the Taiwan market at this stage.

對部分條件拒絕,保留合作可能。

專業道歉:承認、負責、修復

道歉不是越低頭越好。過度道歉("Sorry sorry sorry")或推卸("It wasn't really my fault")都會損害信任。專業道歉公式:承認問題承認影響說明原因(簡短,不藉口)修復計畫防止再發

對同事或內部團隊

I apologize for missing the deadline on the report. I underestimated the data cleanup time. I've completed it now and will flag risks earlier next time.

承認、簡述原因、已補救、未來改善。

I'm sorry for the confusion in yesterday's email — the figures in row 4 were outdated. I've sent a corrected version.

針對具體錯誤,附修正行動。

I take responsibility for the miscommunication with the vendor. Let's sync today to align on next steps.

展現 ownership,並提出立即行動。

對客戶或外部合作方

We sincerely apologize for the delay in shipment. We understand this impacts your launch schedule. The goods will ship tomorrow via express, and we'll credit 5% on this invoice.

對客戶需更正式,並說明補救與補償(若適用)。

Please accept our apologies for the error in your order. We are sending the correct items today at no additional charge.

清楚說明錯誤與如何修正。

We regret any inconvenience caused by the system outage. Our team has identified the root cause and implemented a fix.

"Regret inconvenience" 常見於正式場合,但後面要有技術或流程說明。

無法滿足要求時的「軟性道歉」

I'm sorry we can't accommodate the rush order on such short notice. The earliest we can deliver is March 20.

道歉的是「無法配合」,不是認錯做錯事,仍要給可行日期。

Unfortunately, we don't have availability for a onsite visit this month. We'd be glad to schedule a video call instead.

表達遺憾並提供替代。

避免過度道歉與無效拒絕

台灣人常見的 "Sorry to bother you" 在每封信開頭出現,長期會讓對方覺得你總是在製造麻煩。拒絕時只說 "Maybe..." "I'll try..." 則讓對方期待你不會拒絕。以下對照常見問題與改進。

過度道歉:

  • ❌ Sorry sorry, my English is bad, sorry for wasting your time.
  • ✅ Thank you for your patience. I have one clarification question about section 3.

模糊拒絕:

  • ❌ I'm not sure... maybe it's difficult...
  • ✅ I won't be able to approve this budget increase. We can revisit if Q2 revenue exceeds target.

推卸責任的道歉:

  • ❌ Sorry but the other department didn't give me the data.
  • ✅ I apologize for the delay — I should have escalated sooner when we didn't receive the data by Monday.

常見錯誤

  • 只道歉不提供 next step:"Sorry for the delay" 後面沒有 ETA,客戶會更焦慮。
  • 為不是自己錯的事過度道歉:若問題在供應商,應說明 "We're working with our supplier to resolve..." 而非 "It's all our fault"(除非合約上確實是你方責任)。
  • 在 email 用太多感嘆號或表情:正式商務道歉保持克制。
  • 拒絕後沉默:沒有 alternative 時至少表達 "I hope we can collaborate on future opportunities."
  • 把 refuse 和 decline 搞混:兩者都可表拒絕,decline 更禮貌常用於邀請;refuse 較強硬,多用於拒絕要求或條件。
  • 用 "No problem" 回應所有請求:若你其實做不到,不要用 no problem。

其他句型補充:

I'd love to help, but I have to pass this time.

友善但明確 pass。

反對意見時仍保持尊重。

正式代表團隊致歉,適合主管對外。

Email: Polite refusal to take on extra project

Subject: Re: Request for support on EMEA marketing materials

Dear Tom,

Thank you for reaching out and for considering me for the EMEA asset localization. I genuinely appreciate it.

Unfortunately, I won't be able to take on this project in April, as I'm fully committed to the product launch through April 30. I don't want to commit and then deliver late.

Dialogue: Apology to client for shipping delay

Client: Our warehouse still hasn't received the shipment. What's going on?

The container was released this morning, and tracking shows delivery to your warehouse by Thursday, May 9. We've also applied a 3% credit to your invoice and will assign a dedicated contact for updates until delivery is confirmed. Again, I'm sorry for the disruption — is there anything else we should coordinate on your side for Thursday's receipt?

練習建議與檢查清單

拒絕前自問

  • 我是否已清楚說 "I can't / I won't / we're unable to" 而非只有 "maybe"?
  • 是否給了簡短、真實的理由?
  • 是否提供 alternative、轉介或改期?
  • 語氣是否感謝對方而非指責對方?

道歉前自問

  • 是否承認具體事實(什麼錯、影響誰)?
  • 是否說明修復行動與時間?
  • 是否避免過度道歉與推卸?
  • 對客戶是否說明補償或預防措施(若適用)?

句型練習

  • 寫三封 email:拒絕會議、拒絕加工作、對客戶延誤道歉,各使用 acknowledge + clear message + next step。
  • 大聲朗讀,確認語氣堅定但友善,沒有討好或防衛感。
  • 與信任的同事 role-play:對方施壓時仍保持 polite boundary。

檢查清單(寄出前)

  • 拒絕信是否讓對方知道「這次不行」但關係仍專業?
  • 道歉信是否讓對方知道「接下來會發生什麼」?
  • 是否避免 "Sorry" 開頭超過一次?
  • 是否附具體日期、人名、替代方案?
